Cogency Medical has immediate opening for a Administrative Assistant.

Job purpose:

  • To support administrative, technical and accounting staffs and various projects to include but not limited to outbreak investigations, consulting services and litigation support within the field of toxicology, occupational/environmental medicine.

Key responsibilities and accountabilities:

  • Administrative duties for all projects, including, but not limited to, project set up, document filing (electronic and physical), and preparing work binders.
  • Maintain calendar and scheduling.
  • Assist in billing, collections and other bookkeeping duties as required, under supervision of Director of Accounting.
  • Provide information by answering questions and requests via phone calls and emails.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Assist in support to Company President, Director of Accounting and senior staff/consultants, as needed.
  • Report to Director of Accounting.
  • Coordinate with multidisciplinary team members.
  • Contribute to team effort by accomplishing related results, as needed.

Minimum qualifications:

  • High school graduate.
  • Strong computer skills, including Adobe, Word, Excel, Outlook.
  • Keen organization and attention to detail.
  • Able to work independently and show initiative.
  • Ability to be flexible and adaptable to dynamic work environments.
  • Excellent customer service and ability to work well with others.
  • Friendly, professional demeanor.
  • Background check required.

Experience:

  • Background as administrative or legal assistant, and/or bookkeeping.
  • Familiarity with QuickBooks for professional service organizations is a plus.

Salary:

  • Commensurate with relevant training and experience.
